Everything about voicemail greetings
What is a professional voicemail greeting?
A professional voicemail greeting plays when you're unavailable to answer a call. It sets the first impression for new customers, colleagues, and potential clients.
A great greeting includes: a polite opener, your name or company, why you can't answer, and a clear action for the caller.
Business vs personal voicemail greetings
Business greetings are formal and brand-consistent. They include company name, hours, and how to reach someone urgently.
Personal greetings are conversational and shorter. They reflect your personality and just need your name and an invitation to leave a message.
Tips for a great voicemail greeting
- Keep it under 20 seconds — callers have short attention spans
- Always say your name and/or company name upfront
- Give one clear action: leave a message or send an email
- Update it for holidays and business hours changes
- Avoid music that drowns out the voice
How to set your voicemail on any device
Once you've downloaded your greeting, here's how to upload it to your phone or system.
- Open the Phone app. Depending on your iOS version: tap Voicemail (bottom right) then Greeting (top right) — or tap Calls → Edit → Edit Voicemail Greeting.
- Tap Custom, then tap Record and read your script aloud.
- Tap Stop when done, then tap Save.
- Note: iPhone's native voicemail does not support MP3 file upload — you can only record directly in the app. To use your generated audio file, ask your carrier (AT&T, Verizon, T-Mobile) if their Visual Voicemail app supports custom audio upload.
- Open the Phone app, tap the three-dot menu, and select Settings.
- Tap Voicemail → Voicemail greeting.
- Select Custom and tap Record to record your greeting directly — most stock Android dialers do not support MP3 upload.
- Note: If your carrier provides a Visual Voicemail app (e.g. T-Mobile Visual Voicemail, Verizon Visual Voicemail), open it and look for a greeting or audio upload option in its settings.
- Open the RingCentral app (desktop or web at app.ringcentral.com) and click Settings in the navigation bar.
- Click Voicemail → Voicemail greeting.
- Click the Voicemail greeting dropdown and select Custom.
- Select Importing, upload your MP3 file (max 20 MB), and click Save.
- Sign in to the Zoom web portal (zoom.us), click Phone in the navigation menu, then click the Settings tab.
- In the Call Handling section, under When a call is not answered, select Forward to voicemail. The Greeting & Leave voicemail instruction section will appear.
- Click Edit → Add Audio → Upload and select your MP3 file (max 10 MB).
- Click Save. The uploaded file becomes your active voicemail greeting.
